Booking and calendars for a coaching practice

Updated 2026-09-19

HighLevel's calendars book discovery calls, one-to-one sessions and group events, sync two ways with Google or Outlook, and trigger the reminders that cut no-shows. Set up one booking page, one reminder sequence and your own availability rules before touching anything else in the calendar area.

The calendar types

As at September 2026, HighLevel offers four calendar types: Round Robin, which distributes appointments across a team in rotation; Collective, which combines several team members' individual availability into one shared booking flow, useful for a group sales call or a panel session; Class Booking, a one-to-many event with a single host and configurable spots per slot, up to 9,999 attendees; and a Service-type calendar for a straightforward one-on-one booking page. A coach running discovery calls alone needs only the last of those. A practice with associate coaches will use Round Robin or Collective as it grows.

What runs alongside the booking

Calendars sync two ways with Google and Outlook, so a session booked on HighLevel shows up where you already look for your day; see Google Calendar and Workspace for how that connection is set up. Reminders go out by email or SMS ahead of a session; SMS reminders are billed by usage, at roughly $0.00747 per segment in the US as at September 2026, on top of the plan. You can also set your own buffers, minimum notice and daily caps so a booking page never fills a day back to back or lets someone book in the next ten minutes.

Should it replace your current scheduler

Use it in place of a separate scheduling tool if you want a booking to start a workflow and land directly in your pipeline, which a standalone scheduler cannot do on its own. Keep a separate tool only while part of your team has not yet moved onto HighLevel. A dedicated scheduling tool such as Calendly is built for booking meetings across any calendar, without the CRM and workflow behind it; see Calendly or HighLevel for that comparison in full.

Before you turn on round robin

Distribution rules need to be written down before the feature goes live, not after. One team turned on round robin for its associate coaches and immediately hit friction over who received which booking, because nobody had agreed the rule or the exception to it in advance. Decide who gets a lead when the assigned coach is unavailable, and who reviews the split, before the calendar makes that decision for you.

Questions people ask

Can HighLevel replace my scheduler?

Yes, if you want a booking to trigger a pipeline stage or a workflow directly. Keep a standalone scheduler only while part of your team is still outside HighLevel.

Does it sync with Google Calendar?

Yes, two ways, along with Outlook, so a booking on either side shows up on both.

Can it send text reminders?

Yes. SMS reminders are billed by usage on top of the plan, at roughly $0.00747 per segment in the US as at September 2026.

Can I book group sessions?

Yes, through a Class Booking calendar, which supports one host and configurable spots per slot up to 9,999 attendees.

How do I share calls between two coaches?

With a Round Robin calendar for rotating individual assignment, or a Collective calendar where either coach's availability can fill the same slot. Write the distribution rule before you switch it on.
