Most small businesses lose more revenue after the enquiry than before it. The lead is not answered, is answered late, or hears nothing after the first reply. Audit before you build
Count last month's enquiries by hand: how many got a reply within an hour, how many got a booking link, and how many got a second touch if the first one went unanswered. That count tells you which of the five leaks below is largest in your business, and the largest gap is the one to fix first. If every gap is already closed by a person, the automation below is optional, not urgent.
The five leaks and what closes each
- No reply. An enquiry sits in an inbox or a missed call with nothing sent back. Closed by an automatic acknowledgment the moment the enquiry arrives, and by missed-call text-back for a call nobody answered.
- Slow reply. A reply eventually goes out, hours or a day later, after interest has cooled. Closed by a workflow that fires within minutes of the enquiry, not a person checking a shared inbox once a day.
- No booking link. The reply is warm but does not ask for the next step. Closed by including a booking link in the first automated reply, so saying yes takes one click.
- No reminder. A call gets booked and then no-shows. Closed by a reminder sequence attached to the calendar, timed the day before and the hour before.
- No second touch. The lead does not book, and nobody follows up again. Closed by a short follow-up sequence over the following one to two weeks, then a longer-interval sequence after that.
Each of these is a workflow triggered off an event already in HighLevel: a new contact, a missed call, a booked appointment, or a stalled pipeline stage. None require the AI modules; a plain workflow does the job.
What it costs to close the gaps
The workflows themselves carry no separate charge beyond the plan. What they send does: an SMS reply costs $0.00747 per segment (US and Canada) and email costs $0.675 per 1,000 sends, as at September 2026 (see usage fees). A business sending a handful of replies and reminders a day will not notice this on the bill; a high-volume operation should model it before assuming the fix is free.

An audit of a paid-ads account, in a business we have advised, found that most leads from a running campaign never received any follow-up at all. The instinct in that situation is to spend more on ads. The actual leak was after the click, in the reply and the booking step, and the fix that mattered was the workflow, not the budget. A second trap sits downstream of the fix: building the reply sequence and sending it from an email domain nobody warmed up first, which drops deliverability just as the new workflow starts working. What should happen when a new enquiry comes in?
An automatic reply within minutes, with a link to book a call, at minimum. A person should still be able to see and respond personally; the workflow covers the gap while they do.
