Cancel a tool once its data is exported and the equivalent function on HighLevel is set up and tested with one real client, not just built and left untried. Cancel once a condition is met
Two tools should not be cancelled on day one. The email tool should stay live until the new sending domain has finished its warm-up, which runs two to four weeks, and at least one real campaign has gone out cleanly from HighLevel. One practice cancelled its email tool the same week it created its new sending domain and saw replies and opens drop, because the new domain had no sending history yet. The course host should stay live until students have logged into the new membership area at least once; do not cancel it while material or video files still only exist on the old side.
Never cancel
Video meeting software, since HighLevel does not run video calls itself. Your accounting software, since HighLevel is not a bookkeeping system, even though it can sync invoices to QuickBooks. Your payment processor's own fees, since Stripe's transaction fee applies regardless of which CRM is sending the invoice. And your domain and any email hosting tied to it, since those sit underneath the sending domain rather than being replaced by it.
Export before you cancel anything
Before cancelling a tool, export what you actually need from it: contacts and tags from your CRM or email tool, course content and video files from your course host, and any forms or their historical submissions you want to keep. A tool cancelled before its export is data that is simply gone.
